Finance Manager

The Finance Manager will ensure the ongoing profitable growth of CREW by providing value-added financial leadership and effective management of all operational and corporate accounting, internal controls, financial reporting, budgeting and forecasting, treasury, audit, and tax. In fulfilling this mandate, the Finance Manager will supervise the daily functioning of the Finance and team, support and counsel business operations as it relates to the Finance function and assist the CEO and Leadership Team in effective decision making.

CREW Marketing Partners is an award winning, full-service marketing agency with offices in Surrey, Kelowna and Oakville. We are seeking a Finance Manager to oversee the daily function of Finance Department in our Surrey office.

THE POSITION

The Finance Manager will ensure the ongoing profitable growth of CREW by providing value-added financial leadership and effective management of all operational and corporate accounting, internal controls, financial reporting, budgeting and forecasting, treasury, audit, and tax. In fulfilling this mandate, the Finance Manager will supervise the daily functioning of the Finance and team, support and counsel business operations as it relates to the Finance function and assist the CEO and Leadership Team in effective decision making.

Key Areas of Accountability

Business Planning and Reporting:

  • Assists in the creation of annual operating and capital budgets and targets based on the strategic plan
  • Collaborates with the CEO to refine appropriate metrics to assess, monitor and measure financial performance of the agency (revenue forecasts, UR, ER, capacity, etc); provides monthly financial reporting and analysis to the CEO and Leadership Team
  • Alongside the corporate tax advisor, monitors and recommends changes where needed to the corporate structure to ensure tax efficiencies are maximized, providing careful consideration when new jurisdictions are added to the company’s business reach
  • Develops and provides systematic and simplified reporting from Function Point to assist all stakeholders to analyze work in progress and business results, and use the data to help them better manage their areas of responsibility

Financial Management

  • Establishes and administers the delivery of the monthly Financial Dashboard data and reports, with distribution to the CEO and Leadership Team
  • Establishes and reports regularly on cash flow projections
  • Oversees accounts receivables according to agency policy, including taking action to escalate payments when required
  • Administers cost and margin controls that ensure profitability across all product and service offerings
  • Oversees credit and background checks on potential strategic supply partners (ie printers, media sources) to ensure credit, payment terms and mark-up are in place
  • Ensures payroll and employee benefits administration is managed in a cost-effective and timely manner
  • Effectively manages legal resources in a cost effective manner
  • Maintains a risk management plan that provides for best-value property and liability insurance and risk management policies
  • Ensures financial document control is compliant with accounting best practices

Technology and Systems Operations

  • Ensures the functionality of the Project Management Software (Function Point) meets data security and IT compliance requirements
  • Ensures the functionality of the Accounting Software (Sage) meets data security and IT compliance requirements
  • Ensures the security, confidentiality and privacy of all financial data and systems
  • Acts as the co-administrator (along with the IT service provider) for systems that affect financial controls and/or financial record keeping

People Operations

  • Directs the work of the Finance Team and ensures appropriate and qualified staff are in place
  • Works collaboratively with internal or external human resources advisors to support the successful functioning of the Finance Team and the people practices required to ensure the department is in position to attract, hire, retain, develop, and provide fair and marketable compensation to all team members; works to prevent and solve problems which may arise from working relationships among individuals

Facilities

  • In consultation with the CEO, develops and implements facilities management for the agency, ensuring appropriate office locations and working conditions resources are in place to support the effective functioning of the Company’s staff base
  • Key point of contact for landlords, lessors, and similar agents with respect to contractual arrangements of office space for the Company

External Relations

  • Strengthens and develops the agency’s relationships with external accountants, lending institutions and key banking contacts; keeps them apprised of ongoing financing and capital requirements, and that appropriate financing is in place to meet the growing needs of the business; maintains reporting compliance
  • Develops and maintains effective relationships with financial consultants, lawyers, insurers, business consultants, suppliers and other providers of external services

The People

  • Reports to: CEO
    • Annual and Mid-Year Personal Development Plan Review
  • Direct Reports: Accountants
  • Key internal interactions: CEO, Leadership Team, Office Leads, Marketing Managers, Executive Assistant/Office Administrator
  • Key external interactions: External accountants, banks, insurance providers, suppliers, IT providers, consultants, and lawyers.
  • Feedback / Coaching:
    • Weekly 30 min 1-1 with CEO to review priorities and progress

Success Measurements

  • Core Deliverables includes successful execution of the Key Areas of Accountability (above), weekly and/or monthly financial KPI’s, monthly P&L reconciliation, financial reporting, and bank reporting
  • Outstanding Client Satisfaction and client retention as measured by Net Promoter Score (NPS) methodology
  • CREW organizational profitability on an Operating Profit (OP%) basis;
    • Contribute towards healthy financial performance as expressed by Operating Profit (OP%), Contribution Margin (CM%), and Operating Expense Ratio (SG&A%)
  • Cash management is sufficient to ensure financial resources are available to meet ongoing operational needs
  • Accounts Receivable achieves an average DSO of 45 days or less and a process is in place that results in successfully escalating and securing late payments
  • Identify non-conformance of process as it relates to workflows and operating procedures
  • Finance team is productive and aligned in roles and responsibilities
  • Significant value-added counsel is being provided to the CEO and Leadership Team on all aspects of financial management of the agency

  • Business degree (requirement) – preferred emphasis Business Management, Finance
  • Agency, Consulting, Account Management experience (bonus)
